Effective date: October 12, 2026
This policy explains what information The Nonprofit Calendar (thenonprofitcalendar.org and thenonprofitcalendar.com, the "Site") collects, why we collect it, how long we keep it, and the choices you have.
1. Who we are
The Site is created and operated by AYNI TX LLC, a Texas limited liability company based in Austin, Texas ("AYNI," "we," "us"). AYNI TX LLC also operates Ember, a software product for nonprofits. You can contact us about this policy at team@ayni.io.
2. Summary
- You can use the calendar without giving us your name or email address.
- Your picks, saved events and checklist ticks are stored in your own browser. If you sign up for email, we also keep your picks with your sign-up.
- If you sign up, we keep your email address, your picks and how you found the Site, so that we can send the email you asked for.
- When analytics is enabled, Google Analytics records how the Site is used. It does not receive your email address, your name or anything you type into a form.
- We do not use advertising pixels, and we do not sell, rent or trade your information.
- Reports we publish or share are aggregate only and never describe a group of fewer than 10 organizations.
3. Information we collect
3.1 Information stored in your browser
The Site stores the following in your browser's local storage: your location and format choices (your state, nearby states or online events), the causes and topics you pick, your filters and preferred view, the events you save to My events, and the "This month" items you tick. This information is not sent to our server, except your picks, which are sent with an email sign-up as described below. You can remove it at any time by clearing the Site's data in your browser settings.
3.2 Information you give us
Monthly email ("Your month ahead"). If you sign up, we collect:
- your email address;
- your picks at the time you sign up (location and format choices, causes and topics);
- how you found the Site: the campaign tags in the link you followed (such as utm_source and utm_campaign), any referral code in that link, the website that referred you (its domain name only), the first page you visited, and the dates of your first and most recent visits;
- which sign-up form on the Site you used;
- the date and time you signed up and confirmed, and the version of the consent statement you agreed to; and
- whether you are subscribed, unsubscribed or awaiting confirmation.
We send a confirmation email before we add you to the list. The confirmation link in that email works for 6 days. If you do not confirm, we do not send the monthly email.
Optional details. We may later ask for your organization's name and its approximate annual budget. Answering is optional. If you answer, we keep those answers with your sign-up.
Saved events across devices. If we offer, and you choose, to keep your saved events across devices by email, we store your saved events with your email address.
Event submissions and corrections. If you use Add your event, or tell us that a listing needs fixing, we collect the event details you enter (such as its name, organizer, dates, time, time zone, format, venue and location, cost, audience, description, registration link and any notes), your name, email address and how you are connected to the event, whether you agreed to be contacted about future events, and how you found the Site (the same details listed above for sign-ups). We review each submission before it appears on the Site. We publish the event details, summarized in our own words. We do not publish your name or email address. We use them to ask about or update the listing and, only if you agreed, to ask you about listing future events.
Suggestions. If you use the suggestion form on the About page, we collect the text of your suggestion, your email address if you choose to give it, and how you found the Site (the same details listed above for sign-ups). We use your suggestion to decide what to add to the Site and, if you gave an email address, to reply to you. We do not add that email address to any mailing list, and we do not publish your suggestion with your name or email address.
Messages. If you email us, we keep your message and our reply so that we can help you.
3.3 Information collected automatically
Analytics. When analytics is enabled, the Site uses Google Tag Manager to load Google Analytics 4, provided by Google LLC. Google Analytics records the pages you view, the actions you take on the Site (for example, the picks and filters you choose, the events you save or add to your calendar, and the links you open), the website or campaign that referred you, your device type, browser and screen size, and your approximate location (city, region and country), which Google derives from your IP address. We configure Google Analytics so that it does not receive your email address, your name or the text you type into any form, and we do not use Google Analytics advertising features. We set Google Analytics to keep event-level data for no longer than 14 months. Google's use of this information is described at How Google uses information from sites or apps that use its services (opens in a new tab) and in the Google Privacy Policy (opens in a new tab).
Server logs. Like most websites, our hosting server automatically records basic technical information for each request, including the IP address, the date and time, the page requested, the referring page and the browser type. We use these logs for security and to fix problems. They are deleted on a rolling basis and are not combined with sign-up records.
Form protection. To limit abuse of our forms and of the links in our emails, we keep a one-way coded (keyed hash) version of the IP address that sent a form or used an invalid email link (for an IPv6 address, of its network part). Each record is used for about one hour and is then deleted, normally within one day. We do not store IP addresses with sign-ups, event submissions or suggestions.
Web fonts. Our pages load fonts from Google Fonts. When your browser requests them, Google receives your IP address and browser information.
3.4 What we do not collect
We do not collect dates of birth, donor names, gift amounts, or information about the people your organization serves. We do not ask for your organization's name or tax identification number unless you choose to answer the optional questions above. We do not use advertising pixels, session recordings that capture form text, or device fingerprinting. Our emails do not contain tracking pixels.
4. Cookies and similar technologies
The Site uses your browser's local storage for the features described in section 3.1. It also uses local storage to remember how you found the Site (campaign tags, referral code, referring domain and the first page you visited): one entry for your first visit, which is replaced after 90 days, and one for the most recent tagged link or referring website that brought you here. These entries are sent to our server only with a sign-up, an event submission or a suggestion, if you choose to send one. When analytics is enabled, Google Analytics sets its own cookies to tell visits apart. For visitors in the European Economic Area, the United Kingdom and Switzerland, analytics storage stays off unless they turn it on. Anyone can turn analytics on or off for their browser with the switch on this page. You can block or delete cookies and local storage in your browser settings; the calendar still works without them, although saved events and picks will not be remembered.
5. How we use information
We use information to:
- run the Site and remember your picks and saved events;
- send the monthly email you asked for, and the confirmation and service messages related to it;
- review, publish and update event listings, and contact submitters about their listings;
- answer your messages;
- understand which events, topics and resources are useful, find gaps in our listings, and improve the Site;
- prepare aggregate reports about what nonprofits want to learn (see section 6);
- choose which resources to show you, including resources from AYNI and Ember, and decide which of AYNI's or Ember's services may be relevant to mention to you in our emails; and
- keep the Site and our forms secure, and comply with the law.
6. Aggregate reports
We may publish or share reports about what nonprofits look for on the Site, for example, "education groups in Texas are most interested in grant writing." These reports contain totals only. They never name you or your organization and never describe a group of fewer than 10 organizations.
7. How we share information
We do not sell, rent or trade your personal information, and we do not share our email list with other organizations. We share information only as follows:
- Service providers that help us run the Site, under their own privacy and security terms: DigitalOcean (server hosting) and our server management service; Google (Google Tag Manager, Google Analytics and Google Fonts); and the email services that deliver our messages and hold our team inbox. A notice of each new sign-up, with the email address partly hidden, and a copy of each event submission and each suggestion are sent to our team inbox so that we can review them.
- Organizers. If you submit an event, we may contact the organizer named in your submission to confirm its details.
- Legal reasons. When required by law, or when needed to protect the rights, property or safety of our users, the public or AYNI.
- Business transfer. If AYNI TX LLC is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction. We will notify subscribers before their information becomes subject to a different privacy policy.
8. How long we keep information
- Information in your browser: until you clear it.
- Sign-ups: while you are subscribed. If you never confirm, we delete the unconfirmed sign-up within 7 days. If you unsubscribe, we stop emailing you and keep your email address marked as unsubscribed so that we do not email you again, unless you also choose Delete my data.
- Event submissions: for as long as the event is listed and for up to two years after it ends, so that we can answer questions about the listing. We remove submitters' contact details at the end of that period.
- Suggestions: up to two years.
- Messages: up to two years.
- Google Analytics event data: no longer than 14 months.
- Form-protection records: used for about one hour, then deleted, normally within one day.
9. Your choices and rights
- Unsubscribe. Every monthly email includes an unsubscribe link. You can also email team@ayni.io.
- Delete your data. Every monthly email includes a Delete my data link, which removes your email address, picks and attribution details from our list. You can also ask us by email, and we will complete the request within 30 days, including deleting the notice of your sign-up in our team inbox. That notice never contains your full email address.
- Access and correction. You may ask for a copy of the information we hold about you or ask us to correct it.
- Analytics. You can turn analytics off for your browser with the switch on this page, block analytics cookies in your browser settings, or install Google's Google Analytics opt-out browser add-on (opens in a new tab).
- Browser data. You can clear the Site's local storage at any time.
Depending on where you live, you may have additional rights under the law. We honor the requests above for everyone, wherever they live, and we will not treat you differently for making one.
10. Security
The Site uses an encrypted connection (HTTPS). Sign-ups, submissions and suggestions are stored on our server outside the folder that the public website is served from, and access is limited to people who need it to run the Site. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Children
The Site is intended for adults who work with or lead nonprofit organizations. It is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has given us personal information, contact us and we will delete it.
12. Visitors outside the United States
The Site is operated from the United States. Our website server is located in the United States, and our service providers process information in the United States and may process it in other countries. If you use the Site from outside the United States, your information will be transferred to the United States.
13. Changes to this policy
If we change this policy, we will post the new version on this page with a new effective date. If a change materially affects how we use information we already hold, we will tell subscribers by email before it takes effect.
