Spring is when people want to be outside and useful. A good volunteer day gives them both, and it starts with planning in March, while April's weekends are still open.
Pick a date with a reason behind it
Two dates are worth a look. National Volunteer Week, run by Points of Light, is held each April, so watch their site for this year's dates. Earth Day 2027 is Thursday, April 22, according to EARTHDAY.ORG, and the weekend around it suits cleanups and planting. Clocks also spring forward on March 14, 2027 (the second Sunday in March, NIST notes), so weekday evening projects get more daylight from then on.
Pick a rain date at the same time. April weather doesn't check your calendar.
Know the job before you recruit
"Come help" is hard to say yes to. "Plant 200 seedlings along the creek trail, 9 to noon" is easy. Write down:
- what will get done, in one sentence;
- how many people you need, and how many is too many;
- the roles: a greeter at check-in, a lead for each group, someone on supplies;
- who it suits (kids with a parent, teens who need service hours, people who can't kneel or lift).
That last line matters. Saying plainly who can join, and how, welcomes people who'd otherwise assume it isn't for them.
Open a sign-up that shows the open spots
Use one link that lists each role and how many spots it has, so people can see what's left. Ask only what you need: a name, a way to reach them, and anything you'll actually use, like T-shirt size or a parent's number for a minor. Every extra question is one more reason to close the page.
If minors or physical work are involved, decide early whether you need a waiver, and put it in the sign-up, not on a clipboard at 9 a.m.
Invite groups, not just people
Companies with volunteer days, school clubs, scout troops, faith groups and the local high school's service-hours crowd can fill a morning with one message. Give each group's leader an invite they can forward, with the link.
Plan the reminders
Send two. One a week before, with what to wear and bring and where to park. One the day before, with the weather call and a phone number for the morning.
Run a calm morning
A check-in table with name tags. A two-minute welcome: why this matters, where the bathrooms are, who to ask. Water. Gloves in a few sizes. And one person whose only job is to spot anyone standing alone and give them something to do.
Count the hours before everyone leaves. Some funders ask for volunteer hours, and you'll never have a better moment to get them right.
Thank them within a few days
Send a photo, the count of seedlings or bags or meals, and a real thank-you. Our guide, Thank the volunteers who helped this fall, works just as well in spring. End with the next date, and you've started summer recruiting without trying.
